Job Description:
Emeritus is seeking a Payroll and Benefits Associate will be responsible for overseeing payroll operations and benefits administration across multiple regions, ensuring accuracy, compliance, and seamless coordination. You’ll collaborate with internal stakeholders and vendors to optimize processes, resolve inquiries, and drive efficiency. This role offers an opportunity to lead cross-functional projects and contribute to strategic initiatives in a dynamic global environment.
Collaborating closely with other teams, you’ll resolve discrepancies and support organizational initiatives, fostering cross-functional teamwork. Additionally, you’ll enhance your technical proficiency by gaining experience with HRIS systems, leading special projects, optimizing workflows, and driving successful outcomes.
The position is full-time, remote and will report to the Manager, Total Rewards, working closely with the Human Resources team and requires a high level of confidentiality.
The successful candidate must be responsive on urgent matters to all employees and ensure an accurate process of payroll and benefits. Strong analytical, problem-solving, multitasking is a must. Provide great customer service to external and internal customers along with the ability to drive company initiatives with strong business acumen, ethics, and judgment. Ability to balance competing priorities and adjust readily to meet evolving needs and processes.
Key Responsibilities:
- Process multi-state bi-weekly payroll for all payroll changes, including but not limited to, benefit changes, leaves, back pay, bonus/commission, benefit changes.
- Assist with data integrity within Payroll (Paylocity)/HRMS systems and current in place systems for any employee record information, including sensitive payroll and HIPAA.
- Assist with setting up files/reports such as the EEO1, annual non-discrimination testing for benefits plans, annual reports, as well as other special and ad hoc reports as requested.
- Manage benefits changes for each payroll, including, 401(k), Medical, Dental, Vision, and ancillary benefits.
- Serve as a primary point of contact for employees regarding benefits-related inquiries, ensuring timely and accurate resolution of issues.
- Gather employee locations to contact and register each locality to set up Emeritus with SUTA and SIT, if not currently present in the state.
- Coordinate daily benefits processing. Handle enrollments, COBRA, terminations, changes, beneficiaries, disability, accident and death claims, rollovers, QDROs, QMCSOs, distributions, loans, hardships and compliance testing.
- Verify attendance, hours worked, and pay adjustments, and post information onto designated records.
- Issue and record adjustments to pay related to previous errors or retroactive increases.
- Document and maintain administrative procedures for assigned benefits processes, ensuring compliance with applicable regulations and company standards.
- Maintain and ensure compliance with all governmental/state regulations are completed accuracy and ahead of time.
- Oversee the processing of monthly billings and the preparation of vouchers for payment of administrative fees for all group plans and vendors.
- Provide customer service support to internal and external customers. Develop communication tools to enhance understanding of the company’s benefits package.
- Design and distribute materials for benefits orientations, open enrollment and summary plan descriptions. Provide training and support to group benefits associates.
- Manage paid and unpaid leaves for all U.S. employees.
- Assist with providing training and information to employees on payroll matters, tax issues, and benefit plans.
- Ensure each state’s taxes are filed and paid payroll each month/quarterly.
- Compile statistical reports, statements, and summaries related to pay and benefits accounts, and submit them to appropriate departments, as needed.
- Train employees and managers on organizations’ timekeeping system.
- Participate in special projects and initiatives as assigned by senior management, contributing expertise in payroll and benefits management.
- Work closely with HR, Finance, Legal, and other departments to address payroll-related inquiries, resolve payroll discrepancies, and support organizational initiatives such as mergers, acquisitions, and restructuring activities.
Qualifications:
Must have qualifications:
- At least 3+ years of experience with payroll, HRIS, and benefits processes required. Work experience should include knowledge of basic human resources, payroll practices, benefits administration, and compliance or other related experience. Paylocity experience is preferred.
- Bachelor’s degree in Human Resources, Organizational Development, Business Administration, Finance, or related field or relevant years of experience.
- Must have strong knowledge of a variety of computer software applications, including payroll, benefits, time & attendance, and HRIS and self-service systems.
- Must have a high level of interpersonal skills to handle sensitive and confidential situations.
- Knowledge and understanding of all pertinent federal and state regulations, filing and compliance requirements, both adopted and pending, affecting employee benefits programs, including the ACA, ERISA, COBRA, FMLA, ADA, Section 125, workers’ compensation, Medicare, OBRA, and Social Security and DOL requirements.
- Demonstrates exceptional analytical skills and the ability to create useful and actionable reports from data.
- Strong mathematical skills with a high attention to detail and ability to edit and proofread.

- Proficiency in Paylocity.
- Possess strong written and verbal communications skills.
- Effective planning and priority setting. Ability to manage several complex projects simultaneously while working under pressure to meet deadlines.
- East Coast time zone.
- Possess a creative outlook with a problem-solving attitude.
- Excellent time management, organizational, and follow-through skills.
- Has shown the ability to respond quickly and accurately to requests for data; ability to provide excellent customer service a must.
- Proficient in Microsoft Office applications, strong preference in Excel.
Compensation and Benefits:
Applicants must be currently authorized to work in the United States on a full-time basis. The compensation for this position ranges from $58,656 – $60,000 annually. Pay will be determined on several factors including but not limited to location, skills, experience and may vary from the range listed above.
